This notice explains what personal information we collect, why we collect it, how we look after it, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).
2. The information we collect
We only collect the information we need. Depending on how you deal with us, this may include:
- Contact details — your name, email address, phone number and, if you give it, your business name, location or postcode.
- Details of your enquiry — the service you are interested in, a description of your problem or project, your preferred contact method and times that suit you for a meeting.
- Records of our work for you — quotes, job notes, invoices, payment records and correspondence.
- Technical information — when you visit this website, your browser automatically shares basic information such as your IP address with the services that deliver the site (see section 6).
We do not ask for, and ask you not to send us, special category information (for example health information) through the website.
3. How our website forms work
The contact, quote and meeting forms on this website do not store anything on the website itself. When you press the button, your own email program opens a message to us with the details you typed already filled in. Nothing is sent until you choose to send that email, and it then travels from your email provider to ours like any other email.
4. Why we use your information, and our lawful basis
| What we use it for | Lawful basis |
|---|---|
| Replying to your enquiry, preparing a quote or arranging a meeting | Taking steps at your request before entering into a contract, or our legitimate interest in responding to people who contact us |
| Providing the services you have asked for and supporting you afterwards | Performance of a contract |
| Invoicing, accounting and keeping business records | Legal obligation |
| Keeping our systems and your information secure, and handling complaints or legal claims | Legitimate interests |
| Sending you news or offers | Only with your consent, which you can withdraw at any time |
We do not sell your personal information, and we do not use it for automated decision-making or profiling.
5. When we work on your systems
When we provide IT support, cyber security, repair, data recovery or CCTV services, we may be able to see information held on your devices, accounts or systems. Where that information belongs to your organisation, we act as a processor on your behalf: we only access it to carry out the work you have asked for, keep it confidential, and do not use it for any other purpose. Business clients can ask us for a written data processing agreement.
6. Who we share your information with
We only share personal information where we need to, with:
- providers who run our email, file storage and business software;
- our website hosting provider;
- our accountants, insurers and professional advisers;
- suppliers or manufacturers, where needed to order, deliver or repair equipment for you;
- WhatsApp (Meta), if you choose to contact us that way;
- Google, which supplies the fonts used on this website and receives your IP address when your browser downloads them;
- the police, regulators or courts, where the law requires it.
Some of these providers may store information outside the UK. Where they do, we rely on the safeguards UK law requires, such as a UK adequacy decision or approved contract terms.
7. How long we keep it
- Enquiries that do not lead to work — up to 12 months, then deleted.
- Client records, quotes and invoices — 6 years after our work for you ends, to meet tax and accounting rules.
We may keep information for longer if we need it to deal with a complaint or legal claim.
8. How we protect it
We use appropriate technical and organisational measures to protect your information, including multi-factor authentication, encrypted devices, access limited to people who need it, and regular updates to our systems.
9. Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to us using it;
- ask us to transfer information you gave us to another organisation;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email info@datadirectorysolutions.co.uk. There is normally no charge, and we will reply within one month.
10. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
